Confirmation Process

 

Virtually all spam originates from automated or bulk mailer systems, very rarely is any email response to the address the spam originated from looked at by a human. Automated mailing systems are very unlikely to be able to intelligently respond to requests for Confirmation making this filter suitable for weeding out all of those unwanted spam emails.

If you receive bona fide email from automated mailer systems then all you have to do is add an entry to the relevant address book containing the email address the mail comes from and the filter will not be tripped by mail from that address.

To allow this to work all messages that come from an unknown source are automatically transferred to the Quarantine folder. The sender of the message is sent an automated response containing a unique string, only if a response to this Confirmation email is received is the message removed from the Quarantine folder and transferred to your Inbox. If the sender sends multiple messages to you they will only get one confirmation message. Once they respond to that confirmation all their messages will be moved to the inbox. Note that they must reply to the confirmation from the same email address that they sent the original message from.

You can configure this Confirmation Process by clicking on the "+" next to Filters in the left hand menu tree and selecting Confirmation from the expanded tree. A page with the following options is then displayed.

Active
Checking this box and clicking on the OK button will activate the Confirmation Process using whatever settings you have selected below.

Filter Criteria
Allows you to specify the criteria the filter should check against.

Filter Action
Allows you to specify the action to take against messages that match the criteria you specify on the Filter Criteria tab.

Click on the OK button to commit any changes made to the configuration.

Filter Criteria

The Confirmation Process can be configured by clicking on the "+" next to Filters in the left hand menu tree then selecting Confirmation from the extended menu. The settings on the Filter Criteria Tab allow you to determine what element of a message to filter against. Matching messages will then be dealt with according to the Filter Actions that you set.

Addressing
The first step in setting up this filter is to select the address type it should apply to, select one of From, To, or Reply-To. The Reply-To option will automatically work out from the entire address header fields in the message where replies to the message would be destined for, it does not rely on the presence of a Reply-To header.

The filter can be applied to all incoming mail of the chosen address type by selecting Any from the uppermost address book drop down menu. It can also be applied only to those senders with an entry in any address book on your system, or not in any address book on your system.

The drop down box below this allows you to limit the filter to a specific address book by selecting this option and then selecting the appropriate address book to use.

Use Wildcards
If you wish to use wildcards, such as *@example.com, in your address books and would like the confirmation filter to work in conjunction with those wildcards ensure that you select the "Use Wildcards" option.

Note: The options to work with any Address Book excludes the special Address Books Block List and Confirmation.

Filter Actions

The Confirmation Process can be configured by clicking on the "+" next to Filters in the left hand menu tree then selecting Confirmation from the extended menu. The settings on the Filter Action Tab allow you to determine what action is taken when a message meets the Filter Criteria you have defined.

Save in Quarantine folder and request confirmation with message
Enter the message that you would like to be returned to the sender requesting that they confirm they are a genuine address and really do want to email you. A unique ID string is automatically added to the text that you enter here.

  • Transfer original message to InBox
    The message will be removed from the Quarantine folder and placed into your Inbox.
  • Transfer confirmation message to InBox
    The message that confirms the sender's identity will be removed from the Quarantine folder and placed into your Inbox.
  • Add address to address book
    The address will be added to the specified address book. This should be the same address book specified in the filter criteria. That way once the address is in the address book further mails from this sender will not require further Confirmation messages.
