Anti-Spam Filter

 

The Anti-Spam filter is designed in such a way that when it is enabled it should greatly reduce the amount of spam you see in your mailbox. You can configure this filter by clicking on the "+" next to Filters in the left hand menu tree and selecting Anti-Spam from the expanded tree. A page with the following options is then displayed.

Active
Checking this box and clicking on the OK button will activate the anti spam filter using whatever settings you have selected below.

Filter Criteria
Allows you to specify the criteria the filter should check against.

Filter Action
Allows you to specify the action to take against messages that match the criteria you specify on the Filter Criteria tab.

Click on the OK button to commit any changes made to the configuration.

Filter Criteria

The Anti-Spam filter can be configured by clicking on the "+" next to Filters in the left hand menu tree then selecting Anti-Spam from the extended menu. The settings on the Filter Criteria Tab allow you to determine what element of a message to filter against. Matching messages will then be dealt with according to the Filter Actions that you set.

Addressing
The first step in setting up this filter is to select the address type it should apply to, select one of From, To, or Reply-To. The Reply-To option will automatically work out from the entire address header fields in the message where replies to the message would be destined for, it does not rely on the presence of a Reply-To header.

The filter can be applied to all incoming mail of the chosen address type by selecting Any from the uppermost address book drop down menu. It can also be applied only to those senders with an entry in any address book on your system, or not in any address book on your system.

The drop down box below this allows you to limit the filter to a specific address book by selecting this option and then selecting the appropriate address book to use.

Select any of the items you would like incoming mail checked for from the range of preset checks. To come up with the list of preset checks Gordano have spent a considerable amount of time analysing email accounts specifically put in place to attract spam, the resulting checks were found to catch approximately 95% of all spam to these accounts. The options are:

  • Not addressed to me - This will catch messages that do not contain the address that you log on to GMS WebMail with in the To field, your list of aliases will also be checked.
  • From address faked as me - checks the From field against your email address and aliases and if a match is found the filter action will apply.
  • No reply address specified - This will catch messages that have no From, Reply-To or Mail-From headers.
  • Reply address does not match from address - This will catch messages where the Reply-To field does not match the From field.
  • Subject is all capitals - Spammers often use subjects that are written only in upper case. This option will catch such messages.
  • No subject - this option will catch messages which have a completely blank subject line.
  • Subject contains account name - if your email address appears in the Subject line of an incoming message it will be caught by this check.
  • Subject starts with unusual character - if the Subject line of an incoming message starts with an unusual character such as "[" the filter action will be applied.
  • Contains banned words or phrases - Enabling this option will automatically apply the filter action to any message that has failed the system and/or domain level banned word checks.
  • Exceeds scored restricted word threshold [n] - Applies to any message whose score exceeds the threshold specified by n. You may wish to take advice from your system administrator as to what threshold values they recommend.
  • Fails Zero Hour Classification - If this option is enabled messages that the Zero Hour protection module classifies as spam will have the filter action applied to them.
  • Message Quality - This can be set to one of High, Medium or Low which gives the number of message quality failures allowed as 0, 1 and 3 respectively. Note that these are the default settings and they may be changed by your system administrator.
  • Junk mail probability - This option allows you to set the probability level at which mail checked by the System level Bayesian filters should be treated as spam. The default is to use a probability of 90%.
  • Sender fails SPF checks - Will treat the message as spam if the sender fails any of the SPF checks.
  • Apply strict SPF checks - As above, but will fail the message as spam unless the sender has an SPF record and is sending from a matching IP address.

Show junk information when reading mail
If this option is enabled when you view an email message, and that message has failed one of the system level Anti-spam checks, a small icon containing a question mark will appear on right of the From field. If you position your mouse over this icon a small pop-up will appear describing exactly which check the message failed.

Note: These options are OR options and not AND options, i.e. "Subject is all in capitals" OR "No Subject".

Note: The options to work with any Address Book excludes the special Address Books Block List and Confirmation .

Filter Actions

The Anti-Spam filter can be configured by clicking on the "+" next to Filters in the left hand menu tree then selecting Anti-Spam from the extended menu. The settings on the Filter Action Tab allow you to determine what action is taken when a message meets the Filter Criteria you have defined.

Filter Action
Each of the messages that match the filtering defined on the Filter Criteria tab may have an action carried out on them; only one action is possible per message. The available actions are:

Copy to
Will take a copy of the message and place it in the folder selected from the drop down menu. The original message will remain in the Inbox.

Transfer to
Will take a copy of the message and place it in the folder selected from the drop down menu. The original message will be deleted from the Inbox.

Forward to
Will take a copy of the message and forward it on to another account. The original will be removed from the Inbox.

Redirect to
Will take a copy of the message and redirect it on to another account. The original will be removed from the Inbox. Redirect is similar to Forward above but will retain the original sender of the message.

Reply with
Will send a reply to the sender of the message consisting of the string entered in the accompanying text box.

Send SMS message

If your administrator has enabled the SMS gateway for your account you can set the filter to send an SMS message to the number you enter every time an email arrives that meets the filter criteria. The original message will end up in your inbox. If you don't have a mobile number set in your Local Addresses address book entry this option will be grayed out.

Send Pager message
If your administrator has enabled the Pager gateway for your account you can set the filter to send a Pager message to the number you enter every time an email arrives that meets the filter criteria. The original message will end up in your inbox. If you don't have a pager number set in your Local Addresses address book entry this option will be grayed out.

Send instant message
If instant messaging has been enabled on your system setting this option will cause an instant message to be sent to the instant messaging account you enter each time a message arrives that meets the filter criteria. The account will need to be logged in to instant messaging to receive the instant message. The original message will end up in your inbox.

Delete
Will simply delete the message and it will not appear in your mailbox.

Transfer directly to Inbox
Will not take any action on messages and allow them to pass through as if the filter was not there. No other filters can then be actioned against the message.

Once you have completed all the details required for your filter, check the Active box and click on OK.
