Active Filters

 

Filters are a very useful feature that can be used to filter out certain incoming emails depending on their content. For instance, you could use filters to move all mail from a certain user to another mailbox so that you can look at them at leisure.

To configure filters select Filters in the menu tree on the left of the screen. This will display a dialog on the right of the screen listing the filters that you currently have. If your administrator has installed and allowed you access to GMS Anti-Spam you will see the default Confirmation, Block List, Anti-Spam and White List filters listed with your own filters. If enabled by your system administrator you will also see a Bayesian filter. These filters cannot be removed but they can be made inactive. The dialog has the following options.

Add
To create a new filter click on the Add... button.

Remove
The Remove option is greyed out until you have at least one filter defined. If you would like to remove any of your filters highlight it in the list and click on the Remove button.

Ordering
To change the order in which the filters are actioned select the filter to be moved from the list. Then use the '+' and '-' buttons to move the selected filter up or down in the listing. Select the Apply button to set the changes or Reset to set them back to the default order.

Filters are actioned in strict order from top to bottom. If a mail matches the criteria of more than one filter only the first filter in the list will be actioned. For example, your first filter might check for a From address of VP@yourcompany.com, with an action of "No action". This means that any message from your "Vice President" will match the first filter and no action will be taken on the message. No further filters will be applied and messages from that address will therefore always end up in your Inbox. Note that since filters are applied in order it is good practice to have the Confirmation filter (if enabled) as the last filter in the list.
